You can broaden what your AI Receptionist knows by pointing it toward specific websites. Instead of typing out every detail yourself, you can simply provide a URL. The system will then visit that site, read the information, and save it as part of the assistant's memory. This article will walk you through how to add these links, check the status of your updates, and clear the memory if information becomes outdated.

Note

Website memory is kept separate from your standard text memory. Clearing your website-based knowledge won't affect any other data you’ve manually entered.

Why add website links?

Teaching your receptionist using websites helps you provide a better experience for your callers by:

  • Saving time: You don't have to copy and paste large amounts of text.
  • Improving accuracy: Your assistant pulls details directly from your official sources.
  • Staying current: You can easily update the assistant’s knowledge whenever your website content changes.

How to add new websites

To teach your assistant from a website, you need to provide the link and a few brief instructions on what it should look for.

  • Log in to your IONOS account.
  • Click on Menu > AI Receptionist in the title bar. The AI Agent Portal opens.
  • Click on Customer Portal under Actions for the desired receptionist. The Dashboard opens.
  • Click on Settings from the left-side menu.
  • Click on the Knowledge Base tab.
  • Find the field labeled project_attributes_rag_knowledge_base_append_websites.
  • Enter the website details using this simple format:
    Website: [The full URL]
    Objective: [What you want the AI to learn, e.g., "Learn about our new service fees"]
    Keywords: [Important terms, e.g., "pricing, costs, monthly plan"]
  • Click on Save & Publish All Changes in the top right corner.

The system usually takes about 10 minutes to finish reading the site. Once it’s done, the text box will clear itself so you can add more links later.

Note

The system can read up to 100,000 characters at a time. If you have a very large website, add individual pages one by one rather than linking to the main home page.

Checking your update history

You can always verify that your instructions were received by looking at the update log.

  • Look for the attribute project_attributes_rag_knowledge_base_append_websites_log in the Knowledge Base tab.
  • View the content to see a list of every website you have added.
  • The most recent updates will always appear at the bottom of the list.

Clearing website memory

If a website you previously used has changed or is no longer relevant, you can wipe that specific memory clean.

Please Note

This action is permanent and cannot be undone. However, your previous links and instructions are still stored in your project_attributes_rag_knowledge_base_append_websites_log attribute if you need to reference them again.

  • Locate the attribute project_attributes_rag_knowledge_base_append_websites_reset.
  • Select True from the listbox.
  • Click on Save & Publish All Changes in the top right corner.

The system will delete all information it learned from websites. Once finished, the field will automatically switch back to False.
