Configuring a business profile

By default, your virtual assistant relies on general knowledge, which can lead to generic customer interactions. Supplying a dedicated company overview (via the project_business_story setting) ensures your bot delivers tailored, brand-aligned answers, understands your unique selling points, and adopts your company's specific tone of voice. This article explains how to set up and optimize this background information.

Accessing the configuration area

  • Log in to your IONOS account.
  • Click on Menu > AI Receptionist in the title bar. The AI Agent Portal opens.
  • Click on Customer Portal under Actions for the desired receptionist. The Dashboard opens.

  • Click on Settings from the left-side menu.

Defining your company profile

  • Type in project_business_story in the provided search field (Search by idn, title, group). The Business Description setting will appear.

  • Type out a short summary (maximum two paragraphs) detailing your core services, primary location, and distinct competitive advantages.

  • Click on Save to apply these changes to your receptionist's active knowledge base.

To ensure the best conversational results from your virtual agent, keep the following content guidelines in mind:

  • Brevity is key: Restrict your text to a couple of paragraphs. This summary is loaded into the background of every interaction, so computational efficiency matters.

  • Highlight unique selling points: Concentrate on what sets your brand apart from competitors rather than exhaustively listing every minor service you offer.

  • Adopt a conversational tone: Draft the text as if you were casually explaining your enterprise to a brand-new prospective client.

  • Specify geographical markers: If your operations are tied to a specific city, region, or notable landmark, be sure to note it to provide accurate local context.
