By default, your AI Receptionist needs to comprehend your linguistic preferences to properly manage customer interactions. Defining dedicated language parameters (via the project_business_language_primary and project_business_language_additional settings) ensures your Receptionist can accurately initiate dialogues, maintain conversational stability, and dynamically adapt to multilingual inquiries. This article outlines how to establish and optimize your AI Receptionist’s communication capabilities.

Note

The AI Receptionist is designed to automatically recognize when a user transitions to a different dialect. You do not need to build manual transition workflows; however, explicitly outlining your extra languages significantly enhances the system's recognition accuracy.

  • Log in to your IONOS account.
  • Click on Menu > AI Receptionist in the title bar. The AI Agent Portal opens.
  • Click on Customer Portal under Actions for the desired receptionist. The Dashboard opens.
  • Click on Settings from the left-side menu.

Defining your primary language

This parameter dictates the default dialect utilized for initial greetings and acts as the standard fallback when a user's dialect is unidentifiable.

  • Type in project_business_language_primary in the provided search field (Search by idn, title, group). The Language - Primary setting will appear.
  • Choose your desired default dialect from the provided dropdown menu. This should reflect the main demographic of your consumer base.
  • Click on Save to apply this baseline to your Receptionist's logic.

Defining additional languages

These parameters outline the specific dialects your assistant is permitted to transition into during an active interaction.

  • Type in project_business_language_additional in the provided search field (Search by idn, title, group). The Language - Additional settings will appear.
  • Type your desired secondary dialects utilizing a standard JSON array format.
    For example:

    ["Spanish", "French", "Italian"]

  • Click on Save to authorize these options.

Core functionalities driven by your language settings

To understand why this setup is critical, here is how the AI utilizes your configured dialects:

  • Conversation initialization: The assistant will always begin interactions using the designated primary dialect.
  • Stability maintenance: If a caller provides an ambiguous or brief response (such as "okay," a single name, or a timeframe), the assistant retains the active dialect to prevent erratic shifting.
  • Dynamic adaptability: When a user communicates using a distinct, recognizable phrase in an alternative dialect, the assistant instantly pivots to match them, overriding the baseline configuration.

Note

While text-based chat interactions support seamless transitions across all available dialects, automated shifting during live phone calls is restricted to a curated list of languages. It is highly recommended to thoroughly test your desired vocal language pairings prior to live deployment.

Updating associated greetings

Whenever you modify your primary language, you must also manually adjust your corresponding welcome messages to match.

  • Use the search field (Search by idn, title, group) to locate your primary welcome texts, which include:
    • Chat Greetings Phrase: project_representative_agent_chat_greeting_phrase
    • Voice Greeting Phrase - Inbound: project_representative_agent_voice_greeting_phrase)
    • Voice Greeting Phrase - Recent Returning: project_representative_agent_voice_greeting_phrase_recent_returning
    • Voice Greeting Phrase - Later Returning:project_representative_agent_voice_greeting_phrase_later_returning)
  • Translate the text fields into your newly selected primary language.
  • Click on Save to finalize the adjustments.
