In a business context, an AI employee is AI-powered software that takes on recurring office tasks such as drafting content, analysing documents, conducting research and summarising information. It works through natural-language instructions and can handle repetitive tasks without having to be tied to a specific office suite or business software.

What is the difference between an AI employee, AI assistant and AI agent?

The terms AI employee, AI assistant and AI agent are often used interchangeably, but they describe different concepts. An AI assistant and an AI agent mainly describe how a system works, while an AI employee is a broader business term for AI solutions that take on specific tasks within a role on an ongoing basis.

  • An AI assistant works reactively. It answers questions, drafts text or analyses documents after receiving a specific instruction. An AI chatbot is a good example of one – it responds only after someone asks a question, enters a prompt or uploads a file.
  • An AI agent works more proactively and independently towards a specific goal. It can break a task down into individual steps, use tools or data sources it’s connected to and carry out an action in another system. For example, while an AI assistant might draft a reply to a customer enquiry, an AI agent could also update the CRM, request approval or forward a support ticket.
  • An AI employee is not a specific type of AI technology. Instead, it describes an AI solution that regularly takes on tasks that would otherwise be handled by a human employee. Depending on the setup, this could be an AI assistant or a more autonomous AI agent.

AI office tools are not the same as an AI employee either. The term generally refers to AI features that are built into an office suite, for instance, in word processing, spreadsheet, email or video conferencing software. An AI employee may work within such a suite, but it can also be used as a standalone web application or as part of other business systems.

What tasks can an AI employee take on?

According to the Central Statistics Office’s Information Society Statistics - Enterprises 2025, 20.2% of enterprises in Ireland used AI in 2025, up from 8.1% in 2023. Business administration was the most common area in which organisations were using AI.

AI employees are particularly useful for recurring tasks that involve working with text or information and follow a predictable pattern. This includes drafting content, analysing documents and structuring information.

For SMEs, common use cases include:

Drafting and editing content: An AI employee can draft website copy, product descriptions, job adverts or social media posts, and adjust the style, length and tone. Example prompt: ‘Rewrite this product description for business customers. Keep it clear and professional and avoid marketing jargon’.

Preparing email drafts: An AI employee can turn bullet points or an existing email thread into a reply, follow-up email or appointment confirmation. Example prompt: ‘Draft a friendly reply to this customer complaint. Confirm that we have received it, apologise for the delay and explain that we will review the issue by Friday’.

Providing phone assistance: When connected to voice AI systems, an AI employee can answer incoming calls, respond to standard questions about opening hours or services, book appointments and log call summaries directly in a CRM system. Example prompt: ‘Handle incoming customer calls for appointment bookings. Check available slots against the calendar, confirm the appointment by SMS and add a short note explaining the reason for the call’.

Analysing and summarising documents: AI can extract relevant information from contracts, reports, presentations or spreadsheets and organise it according to specific criteria. Example prompt: ‘Summarise this contract and list the contract term, notice period, payment terms and liability clauses. Refer to the relevant section for each point’.

Researching and comparing information: With web search enabled, an AI employee can gather information from multiple sources, compare findings and transform everything into a useful overview of a specific topic. The results should always be checked afterwards. Example prompt: ‘Research current developments in sustainable shipping packaging in Ireland. Organise the findings by material and price trends and cite your sources’.

Preparing meeting minutes: AI can turn notes or transcripts into meeting minutes covering decisions, outstanding questions, responsibilities and deadlines. Example prompt: ‘Turn this transcript into meeting minutes. Separate decisions, outstanding points and action items, and include the person responsible and agreed deadline for each action’.

Preparing proposal and report templates: An AI employee can help create reusable business documents from existing information. Example prompt: ‘Create a proposal template from this data, including the scope of work, requirements and blank fields for pricing’.

Generative AI can produce incorrect, incomplete or fabricated information. This means an AI employee shouldn’t make decisions about legal matters, finances or employees on its own. Hiring decisions, company strategy, confidential workplace matters and final approvals all still require human judgement.

How do you introduce an AI employee into your business?

It’s best to start by giving an AI employee a clearly defined area of responsibility. This makes it easier to assess the benefits, quality of the results and any potential risks before expanding its role. For SMEs, a five-step approach can help make the process all the more manageable.

Step 1: Identify suitable tasks

Start by looking at repetitive tasks that typically take up a lot of your or your colleagues’ time. Tasks that follow a similar pattern, produce fairly predictable results and have clear criteria for checking their quality are good places to start. Drafting emails, preparing proposal templates, creating meeting minutes or summarising documents are just a few examples of what an AI employee can help with.

For each task, consider how often it comes up, how much time it takes and whether someone can review the result before it is used. Rule out any tasks that involve legal or employment decisions or where mistakes could have serious consequences when selecting which ones to include in your pilot.

Step 2: Set requirements and compare AI tools

Decide which features you need and what requirements the tool should meet when it comes to data protection. For business use, pay particular attention to:

  • how data is processed and stored
  • whether the data you enter is used to train AI models
  • access controls and user permissions
  • the ability to upload and analyse your own documents
  • web search for up-to-date information
  • clear information about the sources used
  • whether the tool can be used without being tied to a particular office suite

Just because a tool runs in the browser does not mean it works independently of a particular platform. Check whether it can be used without a particular office subscription and whether it supports common file formats from different systems.

Compare two or three tools using the same test tasks. For example, ask each one to summarise the same contract, draft the same email and carry out the same market research. This makes it easier to compare the quality of the results, ease of use, source information and how much editing is needed afterwards.

Step 3: Get your team involved and develop their AI skills

Make sure your team knows how to use an AI employee safely and effectively. This includes knowing how to write clear prompts, what information to provide to get useful results and why AI-generated content can still be wrong or incomplete even when it sounds convincing.

Agree on which tasks the AI employee can be used for, what information employees are allowed to enter and who is responsible for checking the results. Anything involving legal or financial matters or important business decisions should always be reviewed and approved by someone with the relevant expertise.

Since 2 February 2025, businesses using AI systems have been subject to the AI literacy requirements in Article 4 of the EU AI Act. This means businesses that provide or use AI systems must take measures to support the development of AI literacy among employees and others who use these systems on their behalf. When deciding what measures are appropriate, businesses should take account of factors such as their technical knowledge, experience, education and training, as well as how the AI system will be used.

Step 4: Run a small pilot

Start with a manageable, low-risk task. Before the pilot begins, decide how long it will run and which members of your team will be involved. You should also decide in advance which criteria you will use to measure the success of the pilot. These could include:

  • time saved on completing the task
  • how many corrections are needed and how extensive they are
  • the quality and completeness of the results
  • how easy the tool is for your team to use and how well it is received
  • faster response or turnaround times

Step 5: Evaluate the results and roll out gradually

Compare the results of the pilot with how the task was handled before. Don’t just look at the time saved. Also consider how much editing was needed, how often errors occurred, whether there were any data protection concerns and what your team thought of the tool.

Only give the AI employee additional tasks once you’re happy with the quality of its work and it is clear who is responsible for reviewing and approving the results. Even after the initial rollout, it makes sense to check how well it is performing from time to time, as AI models, available features and your business needs can all change.

What does an AI employee look like in practice?
