G Suite, formerly known as Google Apps for Work and Google Apps for Your Domain, consists of cloud computing, productivity and collaboration tools developed by Google for businesses. Using the Google Suite for your business, means you will be able to harness the collaborative power of a full range of productivity tools and Google applications.
What does G Suite include?
Docs, Gmail, Google Drive, Calendar, Sheets, Slides, Sites, Keep, Forms, Hangouts, and Hangouts Meet. Users may already be familiar with these apps due to the immense popularity of Gmail — Google's free email client. However, only G Suite gives you the full business versions of all of these tools. You are also able to incorporate your company's name into your email address and won't be tied to the gmail.com extension. This is great for building your brand as your customers or clients will see your business' name when you email them.
IONOS offers both Basic and Business pricing plans, so you have options when it comes to choosing what is best for your business.
After purchasing the product, you will need to set up the first admin user account and domain to use your G Suite account. You can get started by signing in to your IONOS account. The next step is to go to the G Suite login (admin.google.com) and get started. You can then configure G Suite to your business needs with the admin console. You can customize your account and:
- Create additional users and set access rights
- Add secondary domains
- Personalize the dashboard with company information
- Adjust settings to suit you and your staff's needs
You can use G Suite Sync for Microsoft Outlook to synchronize your account with Outlook. This enables you to access the synchronized information in Outlook on any device connected to your G Suite account.
Once you've downloaded the G Suite Sync, you will need to restart Microsoft Outlook when prompted. It's important to note that since you've created a new profile, your previous Outlook settings won't be saved. The import process might take a while, depending on how many emails you have in your G Suite account. You will receive a notification when the import process is finished, along with a test email from the G Suite Sync team once your G Suite account has been successfully synced with Outlook. You are now able to use Microsoft Outlook to send G Suite emails.

These include both the EU's General Data Protection Regulation (GDPR), in force since May 2018, and new legislation like California Consumer Privacy Act (CCPA). Google G Suite and Microsoft Office 365 offer professional business email and productivity tools for easier collaboration. G Suite's tools include (among others) Gmail, Google Drive, Google Docs, Sheets, Slides, Keep, Calendar, and Hangouts, whereas Office 365 has Outlook, OneDrive, Word, Excel, PowerPoint, One Note, Skype, and other Microsoft apps.
IONOS offers two packages, with the Business package providing unlimited storage (only for 5+ users, single user packages are limited to 1 TB of storage per user). Microsoft 365 also includes packages, both with 1 TB of cloud storage each and both plans come with 50 GB of email storage.
When it comes to ease of use, G Suite has better admin controls and web and mobile apps, whereas Microsoft 365 has better desktop apps. It depends. Although G Suite has been developed for use in a business setting, it might be the right choice if you just want to upgrade or are looking for extended features such as a custom email address based on your own domain, the option for unlimited cloud storage (depending on plan and number of members), additional administrative tools and advanced settings, and 24/7 phone and email support.
Gmail is great if you're using it for personal use and therefore don't mind the @gmail.com domain. However, representing your business more professionally will add credibility to your brand. This is why the personalized domain (name@yourcompany.com) you get with G Suite is more appropriate. G Suite also provides user management and admin features for multiple users. This is especially important if an employee leaves the company, because it ensures that the data won't go with them. G Suite offers more storage than Gmail does: 15 GB compared to 30 GB or 1 TB or unlimited (depending on the plan). Documents are shared securely thanks to rights management meaning it's impossible to accidentally share data outside of the company. Another security feature only included with G Suite is that there are additional security options such as two-factor authentication to make sure there is no unauthorized access to your account.
Users can take advantage of 24/7 support and an uptime of 99.9%. G Suite can be customized with your own company logo and can be synced with Microsoft Outlook so you can access G Suite emails on any device that you've connected.
The free Gmail version is not designed with a business setup in mind so if you want as many collaboration and productivity features as possible, it makes sense to make the small investment in G Suite.

Yes! With G Suite, you're able to read and send emails on the go as well as attend meetings remotely no matter where you are. G Suite apps can be downloaded for Android® and iOS® devices so you can access them at all times from anywhere. It's especially easy to set up for Android — you only need to add your G Suite account once to your mobile device and your email, contacts, and calendar entries are available on that device. For iOS, you also have to setup Google Sync before you can start using email, contacts and calendar. Choose which products you want to synchronize with your device and repeat each step for each account you want to add.
You can also use G Suite offline as long as you set it up while you're online. As a G Suite administrator, you need to enable offline access via the admin console dashboard, then it will be available for offline use.
