Zapier is designed for straightforward, guided workflows and offers a broad selection of ready-to-use integrations. n8n provides greater technical flexibility, supports more complex logic, allows direct API access and can be self-hosted. The better choice depends largely on the workflows you want to build, your team’s technical expertise, your budget, and your data privacy and control requirements.

How do n8n and Zapier differ?

Zapier and n8n are two of the most common options for automating recurring digital tasks. Both tools connect apps, process data, and trigger actions automatically. For instance, you can use either platform to trigger a workflow when someone submits a form, update information in a CRM, or send a notification in Slack. However, the two platforms take different approaches to automation.

Zapier is primarily designed to make cloud-based automation quick and straightforward. It’s often the better choice if you want to build working automations quickly without extensive technical knowledge. Using it also makes sense if you rely on widely used business apps and prefer a fully hosted service. Its main strengths include a particularly large library of ready-made integrations, an easy-to-follow user experience, and mature collaboration and support features for teams.

n8n is geared more toward teams with technical expertise that want greater control over workflow logic, hosting, and data flows. It may be the better fit if you need complex workflows, custom logic, direct API connections, self-hosting, or more control over your data and infrastructure. However, n8n recommends self-hosting mainly for experienced users because setting up and maintaining the platform requires knowledge of server administration, security, and day-to-day operations.

How do n8n and Zapier differ in practice?

What do you need to get started?

Zapier has a clear advantage when it comes to getting started quickly. All you need is a browser and an account. The free plan allows you to create an unlimited number of automations, known as Zaps, as well as tables and forms. However, usage is restricted to around 100 tasks per month, and each Zap can include only two steps. This makes trying out the platform quick and easy, but the free plan is too limited for most day-to-day business workflows.

The amount of setup required for n8n depends on which version you choose. The hosted version, n8n Cloud, is almost as easy to get started with as Zapier. You simply create an account and begin building workflows. Self-hosting n8n requires more technical knowledge, however. Running the software on your own infrastructure or a rented cloud server typically requires a basic understanding of Linux, Docker, networking, and server administration.

How are automations built?

Both tools follow the same basic principle: a trigger starts a workflow, followed by one or more actions. For example: “When someone submits a new form (trigger), add the data to a Google Sheet and send a message in Slack (actions).”

Zapier uses a highly guided interface that walks you through the process of building an automation step by step. Triggers and actions are quick to configure and require little technical knowledge. Zapier now also supports conditional workflows, nested paths and reusable subprocesses, but its overall structure is still more guided and predefined than n8n’s. This makes Zapier well suited to business processes that are clearly defined and rely on standard app integrations.

n8n workflows are built in a visual node-based editor that makes even complex setups easy to understand. These may include multiple branches, subworkflows, custom data-processing logic, API calls and code steps. As a result, n8n often feels more intuitive for technical or highly customized processes. The key difference is not that Zapier cannot handle complex automations, but that n8n generally makes complex logic easier to model, inspect and adapt.

How much do they cost?

Zapier offers a free plan, but it comes with strict limits. It includes just 100 tasks per month and supports only two-step Zaps, which is likely to be too limited for most day-to-day business use. Paid plans start in the low double digits but can quickly rise to several hundred dollars per month, depending on usage.

To understand Zapier’s pricing, it is important to know what counts as a task. In general, each successful action performed by a Zap uses one task. A workflow that uploads a file and then sends a Slack message therefore uses two tasks each time it runs. Triggers do not count, and built-in steps such as Filters, Paths, Formatter, Delay, and Looping are also excluded from task usage.

n8n charges by workflow execution rather than by each individual step. This means that even a complex workflow with 20 steps counts as just one execution. For large-scale automations, this can make n8n significantly more cost-effective than Zapier.

There are three ways to use n8n:

  • Self-hosted (free): You can run the Community Edition on your own server without paying a license fee. You only cover the cost of the server.
  • n8n Cloud: Plans start at a low double-digit monthly price and offer higher execution limits than comparable Zapier plans.
  • Enterprise: This option is aimed at larger companies with more complex needs. Pricing is available on request.

What features and integrations do n8n and Zapier offer?

Zapier offers over 9,000 built-in app integrations, giving it by far the larger selection. Most widely used business apps, from Google Workspace and Salesforce to more specialized tools, already have a Zapier integration. This is one of the main reasons why Zapier appeals to nontechnical teams.

n8n offers more than 2,000 integrations, which is far fewer than Zapier. However, it has one important advantage. Its built-in HTTP Request node, support for GraphQL and webhooks, and custom code options allow you to connect almost any external API, even when no prebuilt integration is available. In practice, this often gives technical users more flexibility, despite n8n’s smaller selection of plug-and-play integrations.

Both platforms also support AI-powered workflows. Zapier is geared more toward business users who want to set up AI automations quickly and easily, while n8n gives users with programming or developer experience more freedom to build custom AI workflows.

How do they handle data privacy and control?

Zapier is a fully hosted cloud service. Customer data and content processed through workflows pass through Zapier’s infrastructure, which the company says is hosted on AWS in the United States. Zapier provides security and privacy safeguards that include SOC 2 Type II and SOC 3 certifications, a data processing addendum, and support for CCPA compliance. For many US companies, this is a standard cloud setup. However, customers do not have direct control over where their data is stored, the underlying server environment, or how data moves through Zapier’s infrastructure.

n8n offers more control because it can be self-hosted. When you run n8n on your own infrastructure or through a hosting provider of your choice, you can decide where data is processed and manage many of the security settings yourself. This may be especially useful for companies that handle sensitive data or need to meet state-specific privacy laws or internal compliance requirements.

When you use n8n Cloud, n8n hosts your data rather than keeping it on your own infrastructure. The hosted service still offers a strong privacy and security setup. n8n provides a data processing agreement that includes Standard Contractual Clauses for cross-border data transfers, while customer data is protected through encryption in transit and at rest and logically isolated cloud instances.

What support do they provide?

Zapier offers direct customer support, with faster response times and more hands-on assistance on higher-tier plans. The Team and Enterprise plans include priority support, while Enterprise also provides onboarding and a dedicated point of contact. This makes Zapier a good fit for companies that want clear support options and reliable assistance when issues come up.

n8n has an active community on GitHub and in its own community forum. It also provides detailed documentation on how to use it. However, users of the free self-hosted edition mainly rely on the community for help. Because n8n’s source code is publicly available under a fair-code license, they can also access a wide range of community-built nodes, extensions and other contributions. Email assistance and dedicated, SLA-backed support are reserved for the Enterprise plan.
